1Who we are
London Pallet Trucks is the trading name of London Pallet Trucks Ltd, registered in England and Wales, company number 17458263. We are the data controller for the personal data described in this notice. We sell new material handling and retail equipment to business customers only.
Questions about this notice, and requests about your data, go to sales@londonpallettrucks.co.uk. Put "Privacy" in the subject line so it reaches the right person quickly.
2What we collect and where it comes from
Almost everything we hold comes from you, when you use the website or email us.
- Business contacts we approach. If we emailed you first, we found your name, job title, work email and company through Hunter (hunter.io), which collects business contact details from public sources such as company websites. We check Companies House before we email. You can object at any time, and you can ask us where we got your details.
- Contact form, “Get a price by email” box and emails. Your name, business name, email, phone, delivery postcode, the products and quantities you ask about, and the content of the conversation. In the “Get a price by email” box, phone and delivery postcode are optional. We use your number only to call you about that request, and your postcode to price delivery.
- Quote requests from the shop. The items and quantities, your business name, contact name, email, phone and delivery address.
- Enquiries sent through the website. Every contact form, price request, quote request and trade account application is emailed to us and also saved in a database at Cloudflare, our hosting provider, as a back-up copy: your name, business, email, phone, delivery postcode, the products and message, the Google Ads click reference if you arrived from one of our adverts, and the country the request came from. It is kept for the same period as the email.
- Orders. Invoice address, delivery address, VAT number where given, the names of the people we deal with, payment references from your bank transfer, and the delivery contact for the carrier.
- Credit terms. If you ask for credit, the company number, the names of directors or members as shown at Companies House, and the result of a credit-reference search.
- Website use. Our hosting provider records the IP address, browser and pages requested in its server logs for security and performance. We use Google Analytics to count visits and see which pages are read, and Google Ads to measure which adverts lead to an enquiry. Their cookies are set only if you choose Accept in the cookie banner. Choose Reject and no analytics or advertising cookies are set; Google may still receive a basic signal without cookies, such as that a page was viewed or an enquiry was sent. We do not use personalised advertising. You can change your choice at any time with the Change cookie settings link here, which reopens the cookie banner. Google processes the data on our behalf with IP addresses truncated. Separately, our own visit log records the pages viewed, how long each was on screen and links clicked, together with the approximate location and the network organisation of the visitor, as provided by our hosting provider; it uses no cookies and stores nothing on your device, and we use it to understand which products interest trade buyers. When you arrive from one of our adverts or a tagged link, it also records the search keyword, campaign and type of device the advert was shown for. It notes when a field in one of our enquiry forms is first used and whether the form was sent, never what is typed. When you send an enquiry, we keep with it how you reached our site (for example a Google advert and the search keyword it was shown for, or a link from another site), the page you first opened and your type of device, so we can see which adverts and pages help buyers. Your quote request list is stored in your own browser and is not sent to us until you send it.
3Why we use your data and our lawful basis

| Invoicing, accounts and tax | Invoice and payment records | Legal obligation |
| Handling a complaint, claim or dispute | The order file and correspondence | Legitimate interests: defending our legal position |

4Credit-reference checks for credit terms
Credit terms are available to UK limited companies and LLPs on request, subject to checks. If you ask for credit terms we will check your company at Companies House, including status, filing history and officers, and may search your company with a credit reference agency, which records that a search was made. Where the agency requires it, we may search the personal record of a director or LLP member, and we tell that person first. We do not run a personal search on anyone without telling them, and we do not run any search unless you ask for credit terms.
5Email and the systems we use
Email is our main channel for quotes, order confirmations, pre-shipment reports and warranty claims, and the email thread is the record of your contract. Our mailboxes run on Microsoft 365. Our first emails to business contacts are sent from Google Workspace mailboxes and managed in Hunter. Messages sent from the website contact form and quote request form are delivered to us by an email delivery service, which processes the content in order to deliver it. The website is hosted on Cloudflare, which processes visitor IP addresses to serve pages and protect the site, and keeps the back-up copy of website enquiries in a database. Each of these providers acts on our instructions under a written contract, and where data leaves the UK it is covered by the UK International Data Transfer Agreement or an adequacy decision.
6Orders, factory partners and delivery
To make and deliver your goods we share the minimum with each party:
- Factory partners receive the product specification, quantity and our own order reference. They do not receive your name or contact details unless a direct technical conversation is needed and you agree to it.
- Freight forwarders and customs agents receive the consignee details needed for shipping and import clearance: business name, delivery address and, where required, your EORI or VAT number.
- Carriers receive the delivery address, the site contact's name and phone number, and any access instructions you give us.
7Marketing and business emails
We send occasional emails to business contacts at companies about our products, on the basis of legitimate interests. Every email tells you how to stop: reply “no” or email sales@londonpallettrucks.co.uk, and we will not contact you again. Individuals and sole traders get marketing only with consent.
Messages about your own enquiry or order, such as a quote, a payment request, a pre-shipment report or a delivery date, are part of the service and are not marketing.
9How long we keep your data
| Record | Kept for | Why |
|---|---|---|
| Quotes, orders, invoices, pre-shipment reports, delivery records | 6 years after the end of the financial year | Companies Act and HMRC record-keeping; warranty and claims |
| Credit applications and searches | Life of the account plus 6 years | Credit decisions and disputes |
| Enquiries that do not lead to an order, including the copy in our website database | 12 months from the last message | So we can pick up the conversation if you come back |
| Marketing consent and unsubscribe records | Until you withdraw, plus 3 years | To prove consent and honour opt-outs |
| Business contacts we emailed who did not reply | 12 months from our last email | So we do not email the same person again too soon |
| Do-not-contact list | For as long as we send marketing | To make sure we never contact you again |
| Website server logs | Up to 30 days | Security and performance |
10Your rights under UK GDPR
You can ask us to tell you what personal data we hold about you and give you a copy; correct anything that is wrong; delete data we no longer need; stop or limit how we use it; give you a copy in a common file format to pass to someone else; and withdraw consent to marketing at any time. Email sales@londonpallettrucks.co.uk with your business name and the email address you contacted us from. We reply within one month. We may ask you to confirm your identity first, and we may keep records we are legally required to hold, such as invoices.
If you are unhappy with how we handle your data you can complain to the Information Commissioner's Office at ico.org.uk. We would ask you to raise it with us first so we can put it right.
11Security and changes to this notice
Access to order records and mailboxes is limited to the people who need it and protected by passwords and two-step verification. We do not take card payments on the website and we never ask for card details by email. We update this notice when our processing changes; the version and date at the top show the current edition. Our sales terms are on the Terms of Sale page and our warranty, inspection and returns policy is on its own page.
?Questions
Do you run a credit check when I place an order?
No. We run a company search and a credit-reference search only if you ask for credit terms, and we tell you before we do. Ordering without credit terms involves no credit check at all.
Do you use cookies or trackers?
Cookies only with your consent. The cookie banner lets you accept or reject the Google Analytics and Google Ads cookies, which measure visits and which adverts lead to an enquiry; none is set until you accept, and the Change cookie settings link on this page (under What we collect) lets you change your mind. We do not use personalised advertising. Your quote request list is stored in your own browser, and our hosting provider keeps short-lived server logs for security.
Will you send me marketing?
If you work at a company, we may email you about our products, and every email tells you how to stop. Individuals and sole traders get marketing only if they opt in. Messages about your own quote or order are not marketing.
